Accessing Tasks as the 'Assignee'
Accessing Tasks as the 'Assignee'
Assignees are users who are the users responsible for completing the Task and the users who are the users who are meant to be evaluated through the task and subtask completion process. This article will guide users to find and interact with Tasks that they've been added to as the assignee.
Finding Tasks that you've been added to as the Assignee
You can access tasks that you've been added as the assignee from the learner view as well as the admin or manager view. Here's how you can find your tasks on Learn:
- From the Learner's view: Click on "Tasks" from the top navigation bar.
You'll be taken to your Tasks page with the "Assigned" tab as the default where you'll see all Tasks that you've been added to as the assignee.
- From the Manager's or Admin's view: Click on "Tasks" from the top navigation bar.
You'll be taken to the Tasks page which will have two tabs: "All Tasks" and "My Tasks". Click on "My Tasks". This page will default to the "Assigned" tab and will list all the tasks to which you've been added as the assignee.
Interacting with Tasks as the Assignee
From the above page, you can view, respond, comment, and update the tasks and their subtasks that you've been assigned to. Here's how you can perform those actions:
- On the My Tasks page (or the "Tasks" page from the learner's view), click on a listed Task.
You will be taken to the details page of the task assignment. You'll be able to view all the details of the task including the task description, attachments, status of the task, the list of subtasks, the status of the subtask, the due dates for tasks and subtasks, and much more.
Interacting with Tasks without subtasks
If a Task does not have subtasks, you can do the following:
You change the status of the Task.
By default, the task is going to be in the "To-Do" state. Once you've started working on it, you can click on the status dropdown and select:
- "In progress" - if you've started working on it
- "In-Review" - if you've completed it and there's a review process in place.
- "Completed" - if you've completed it but there's no review process in place.
- You can add a response.
You'll see a free text space where you can provide the response as per the objective of the task so that all participants (as well as admins and managers) can view the response and monitor it. Add a response in full or a partial response for the task depending on the objective of the task and the status you'll select. - You can add notes.
Click on the notes icon. You can use the notes space to justify the response you've added and provide additional information and references for yourself, the reviewers & viewers, and even admins & managers who view your task. You can add comments.
You'll see the comments section on the right side of the page or a comments icon if you're using the mobile app. You can post comments to converse or share documents with reviewers, viewers, and admins. Use the '@' prefix and type in:
- "reviewers" to tag and notify all reviewers,
- "viewers" to tag and notify all viewers,
- "admin" to tag and notify all admins.
- You can view the task's activity log.
All activity on the task is recorded on the platform. You can click on the "Activity" tab to view a historical log of all activity performed by the participants. - You can reset a task
You can click on To-Do to reset the progress of a completed task. This will remove all progress that you've made for a task and you'll be required to redo it. - You can add subtasks.
Provided you have been given the necessary permissions, you can add subtasks to an assigned Task. You can do this to systematically plan how you'll achieve the objective of the Tasks, by using subtasks as steps. Each subtask can be a smaller, time-bound objective that results in achieving the Task objective in a meaningful way.
Interacting with Tasks with Subtasks
If a Task has subtasks, you can do all of the above for the Task as well as perform subtask-specific activities, such as:
You change the status of the subtask.
