Creating Mentorship Programs for Admin

Purpose: Mentorship is a powerful tool for employee development and organizational growth. By integrating mentorship into your learning and development programs, your organization can achieve:

Roles: Admin




Basic Details & Settings


  • Basic Details - Enter the important information about the program such as Title, Program Description, Skills [See Skills Below], Attachments, and Custom Fields.

  • Settings - Some settings will be similar to settings that are used for Course, Paths, Events, etc. [See Settings Below].

    • Joining Approval - Select if approval to a program is needed from Admin or Managers or if a user can join the program without needing approval first.

    • Pairing - Select how the Mentors and Mentees are paired:

      • User Driven: can select their mentors freely with Mentor, Admin, and/or Manager approval.

      • Admin/Manager Driven: Admin and/or Manager manually pairs the Mentors and Mentees.

    • Maximum Mentees per Mentor - Set a maximum number of Mentees that each Mentor can have for the program.

    • Edit Program Content - Enable or disable whether Mentors are allowed to edit the content structure of the program.

    • Allow Participants to Quit - Allow Mentors, Mentees, or All Participants to quit the program.

    • Allow Mentees to Request Mentor Change - Enable or disable whether Mentees can request an Admin to change their Mentor.

    • Goals - Enable or Disable goals in the program [See Goals & Milestones]

    • Reporting Managers in Meetings - Enable or disable the ability for Managers to join meetings of their reportees. 

      • [Note: If this is enabled, the Reporting Managers would be able to see meeting notes, meeting minutes, etc. If this is disabled, the Reporting Manager would not be able to see any of this information.]


Goals and Milestones


The Goals & Milestones act as the framework for the program. This will begin as a template for Mentors to customize
the program if ‘Edit Program Content’ is enabled in the settings.


  • Goals - At each program level, participants will set specific goals that are outcome-oriented, which will form the basis for comprehensive evaluations and 360-degree feedback. These evaluations will occur both before the program begins and after its conclusion. Each participant can establish up to five goals to be assessed. The pre-program ratings will provide a baseline, and the post-program ratings will measure progress and achievement relative to the initial goals.

    • Nominations - Mentees will nominate 3 stakeholders to provide pre-program and post-program goal feedback.

  • Milestones - Milestones form the core structure of the entire program, guiding its progression and ensuring systematic development.

    • Prerequisite - Each program will include mandatory milestones that cannot be altered. This includes scheduling a Kickoff Meeting between the Mentor and Mentee, which is essential to set the program's direction and expectations.

    • Adding Milestones - Create and name each milestone, specifying its due date. Include Courses, Paths, Events, etc. and rearrange as needed. [Note: Only Mentors have the ability to add and customize milestones for their respective Mentees.]

    • Evaluation Date - Scheduled after the completion of the program and separate from the end date. Feedback forms will be sent to relevant stakeholders to evaluate the Mentee's performance based on the program's specified goals. [Note: The end date is the date on which the Mentee completes the final milestone of the program.]


People


  • Add Mentors/Mentees - Add Mentors and/or Mentees by choosing from the global list of people on the LMS. 


[Note: Depending on the configuration in the settings, once members have been added, you have the option to choose which Mentor to map to each Mentee.]


Skills


Skills refer to the specific abilities and expertise that users bring to the program or aim to develop. 


Throughout the program, mentors can add, edit, and validate Mentees' skills, providing proficiency ratings, which are
distinctly cataloged in user profiles.


  • Add Skills - Add skills that will be focused on for each specific program. Mentors can customize these skills for each of their Mentees in the program.

  • Types of Skills - Mentors and Mentees add 2 types of skills when creating their Mentor and Mentee profiles:

    • Your Current Skills - Skills that the user already possesses

    • Your Desired Skills - Skills that the user would like to improve
