What happens when you enable E-signatures for your organizations and trainings

You can facilitate learning verification and legal confidence by using E-Signatures on Auzmor Learn. Only primary admins can enable this feature and you can visit this article to learn how to enable it.

Once it has been enabled, all admins will be able to enable E-signatures for each training as they see fit. The following are what the primary admins, branch admins and learners should expect when E-signatures are enabled.

 

Primary Admins & Admins

Other than the ability to enable/disable E-signatures for all organizations, the experience of the primary admin will be the same as other admins.

  • When E-signatures are available for organizations, admins will find a new configuration present in the settings for each training. By default, E-signatures will be disabled for each training.
  • In this configuration, you will be able to:
    • Enable E-signatures, and
    • Edit the Learner Agreement 

When you Enable E-signatures for Organization

Activating E-signatures requires you to select an authentication channel. This will be the channel available to learners and admins whenever authentication related to E-signatures is required. Here are the available options:

  • OTP on Email

Learners and admins will be required to enter a one-time verification code that will be sent to their connected email IDs. 

You will be able to use this channel if any user in your organization does not have an email ID associated with their Learn account.

  • OTP on Authenticator App

Learners and admins will have to go through a one-time set up process to link any authenticator app of their preferance. Once linked, a one-time verification code will be sent on the authentication app whenever authentication is required. that will be sent to the authenticator app. 

Note: When authenticating for the first time using either of the OTP based methods, 
users will be shared backup codes. These backup codes can be used by users for any
authentication requirements on the platform.
  • Username/Password

Learners and admins can authenticate themselves by entering their username and password for Auzmor Learn.

Due to the requirement of username and password for authentication purposes, this method
can not be used if any of your organizations are using SSO. Conversely, SSO will not be available
to any organization if the selected authentication method is Username/password.

Note: If the same authentication channel has been selected for multiple 
Security features, users will not be required to go through a setup process to
link their email ID or their authenticator app. They will seamlessly receive the
verification codes on the selected channel and they will be able to use the same
set of backup codes that were shared with them when they set it up the first time.

 

When you Enable E-signatures for Trainings

Once e-signatures have been enabled for training, there are some special rules that are applicable to it in order to maintain the legal validity of e-signatures:

    • You will not be able to disable E-signatures for a training if at least one learner has provided their e-signatures for that training.
Disabling E-signatures on an organization level will not disable E-signatures
for such trainings.
    • Admins who want to edit the learning contents of such trainings will have to go through an authentication process. Learn has an audit trail for all trainings which helps bind the legal validity of the E-signatures along with the authentication process.

  

    • Learners will have to submit the E-signatures and accept the agreement by authenticating themselves to formally mark such trainings as "Completed".


The Authentication takes place as per what the primary admin has selected. 
    • Learners who had completed the training before E-signatures were enabled on the training will not have any impact. 
    • Trainings will not be considered as completed for learners if they don't submit the E-signatures even if every other completion criterion has been achieved.
