We've covered in other articles that Tasks can be created by and assigned to multiple roles on Learn, this article will elaborate on what Tasks users can edit and the impact of editing Tasks on ongoing and future assignments.

 

What Tasks can users edit?

Edit access depends on who has created the Task and who it's been assigned to. The following is a breakdown of the categorizations of Tasks and the users that each categorization can be edited:

  • Tasks created by an admin and assigned to anyone else - Only the admin who created the task can edit it.
  • Tasks created by a manager and assigned to their team members - Only the manager who created the task can edit it.
  • Tasks created by a user and assigned to themselves - Only the user themselves can edit such tasks. These tasks include tasks that user creates for themselves.

Impact of editing a Task that an admin or a manager created for other usrs

When admins or managers edit a task that they've created, they can edit all content and configuration of the Task. The Task assignments will be impacted in the following way:

  • All future assignments made for the Task from that point onwards will see the last updated version of the Task.
  • All present assignments will see the version of the Task as per their progress on the Task.
    • Users who have the Task and its subtasks in the To-Do state will see the updated version of the Task.
    • Users who have the Task and its subtasks in the In-progress, Completed, or In-Review state will continue seeing the version of the task when it was assigned to them.

Once a Task assignment for a user is manually reset, the last updated version of the Task is reflected to the user.

 

Impact of editing a Task that a user created and assigned to oneself

When users edit a task that they've created and assigned to themselves, they can edit all content and configuration of the Task and all the changes will be instantaneously reflected.
